How to take private meeting notes without a bot in your call

Most AI meeting tools ask you to accept one of two things: a bot that joins your call, or a service that uploads your audio to the cloud. For a lot of conversations, sales calls, one on ones, anything under an NDA, neither is comfortable. Here is how to get clean, accurate meeting notes while keeping the recording and the transcript on your own computer.

Why meeting bots are a problem

A bot that joins your call is visible to everyone in the room. It changes how people talk, it needs to be admitted, and it usually sends the whole recording to a third-party service to process. Even the bot-free cloud tools still upload your audio or transcript to their servers to do the summarizing. Once it leaves your machine, you are trusting someone else's storage, retention, and training policies.

What "private" should actually mean

Private should mean the content of your meeting does not leave your device. Not "encrypted in transit," not "we do not sell it," but simply: the audio and the transcript live on your computer and are processed there. If a tool has to upload your meeting to work, it is not private in this sense, no matter how the marketing reads.

How on-device meeting notes work

The pieces you need all run locally now:

• Capture. The app records system audio and your microphone directly on your machine. No bot joins the call.
• Transcription. A speech-to-text model runs on your device and turns the audio into text. Modern on-device models are fast and multilingual.
• Summary. A local language model reads the transcript and writes a clean summary with decisions and action items.

Because every step happens on your computer, nothing has to be uploaded, and it keeps working with no internet.

Step by step with Pandecho
